Create obligation categories
Track entity reports, franchise or income taxes, sales tax, payroll, licenses, permits, professional credentials, insurance, bonds, assumed names, registered agent, contracts, leases, and industry-specific reports.
Record the trigger, not just the date
Some obligations are annual, while others depend on revenue, employees, location, ownership change, renewal notices, facility events, or a transaction. Preserve what causes the obligation to apply.
Assign an owner and evidence
Every item should have a responsible person, due date, source, filing method, fee date, proof of completion, and escalation path. A calendar reminder without evidence is not a compliance record.
Recheck after business changes
New locations, products, employees, owners, financing, contracts, states, or regulated activities can add obligations. Update the roadmap when the company changes rather than waiting for the next annual cycle.
